Front Office Manager

We are looking for a hospitality & guest service professional with proven front office management skills. This individual must also be a “people person” who enjoys interacting with others and is extremely capable when it comes to problem diffusion and fostering a positive environment for both guests and employees. The Front Office Manager is responsible for planning, organizing, and developing the overall operation of the front desk, loss prevention, bell services, and PBX. Follows all policies and procedures while constantly striving to improve all standards of the operations. Ensures the highest degree of quality guest care is maintained at all times, through prompt and courteous service. Responsible for staffing, scheduling, training and developing hourly team members.

Job Description

• The Front Office Manager is expected to plan, organize, and supervise the work of the front desk, loss prevention, bell services, recreation (pool attendants and Kids’ Club) and PBX team members daily to ensure compliance with our high quality standards, which requires continuous visual inspections and interaction with the supervisors and staff.

•Act as “greeter” in the lobby during peak guest interaction times to ensure guest satisfaction and assist employees during these busy periods.

•Promptly resolves any guest complaints or issues; recognize positive comments.

•Coordinate activities with other hotel departments in order to facilitate increased levels of communication and guest satisfaction. (i.e. – communication with housekeeping and maintenance regarding guest room statuses)

•Uphold the highest standards of cleanliness, sanitation, safety, and conduct in the front desk, reception, bell service and pool areas.

•Communicates effectively, both verbally and in writing, to provide clear direction to team members.

•Ensures proper communication within the department by conducting regular meetings with all team members. Participates with peer managers in meetings property goals and initiatives.

•Recruits (hires), trains, coaches and counsels team members, following company, state, and federal regulations.

•Performs reviews of the team members within the respective departments managed.

•Manages and motivates supervisory team in the administration of their duties.

•Purchase, re-order and maintain supplies and inventory.

•Manages finances of the departments, including budget and inventory controls. Controls expenditures, labor, supplies, etc. in relation to resort financial forecasts and budget. Maintains systems and controls to provide adequate supplies for efficient operations of the department.

•Demonstrate positive leadership characteristics which inspire team members to exceed standards, and promote team empowerment.

•Service metrics responsibility related to areas of control (i.e. – guest service scores and Trip Advisor) •Review room availability status, room blockage and special requests on a daily basis; review all VIP arrivals room blocking.

•Review Front Desk Logbook daily to monitor all activities.

•Delegate duties and projects with consistent follow up. Supportive Functions

•Monitors daily Time and Attendance of staff to prevent any mistakes with payroll and to avoid any over-time for the department.

•Creates monthly activities for Winter Rental Guests.

•Verifies cashier audits and prepares the deposit.

•Maintain clean and organized work area.

•Reports any unsafe work condition to the Resort Manager or General Manager.

•Knowledge of OSHA and safety standards within the managed departments.

•Other duties, as assigned by the Resort or General Manager.

Required Knowledge, Skills, and Job Qualifications

• Previous experience managing a team of employees through motivation, coaching and development.

• The ability to anticipate customer needs, change goals and direction quickly and multitask.

• Working knowledge of rooms management systems.

• Proven experience supervising departments of 20+ employees.

• Capable of using independent judgment/solid decision making skills.

• Proven comfort and experience to interact effectively with all levels of management, guests, associates, and homeowners, both inside and outside of the organization.

• Activator/self-motivated to accomplish goals, with a strong sense of responsibility. Proficiency with general office PC applications (i.e. word processing, spreadsheets, databases).

• Demonstrated sound organizational, coordinating and personal interface skills. • Demonstrated excellent written and verbal communication skills.

• Proven job reliability, diligence, dedication and attention to detail.

• IQWare knowledge and experience preferred.

• Due to the cyclical nature of the hospitality business, team members may be required to work varying schedules to reflect the business needs of the resort.

BELLPERSON

Landmark Resort is seeking a Bellperson to assist our guests upon arrival and departure at the resort. Assist guests with baggage, assist front desk with various tasks and transport guests to and from the airport using the company van. Candidate must have a valid driver's license. This is a part time position- hours will vary.
